Organisation and Administration
Organisation & Administration
Vane Loop provides two separate windows for configuration: My Organisation, for organisation-wide settings, and Account Settings, for personal preferences. Both are accessible from the account menu in the top-right corner of the desktop.
My Organisation
My Organisation is an organisation-wide settings window, accessible to admins and editors. It contains six tabs.
Overview
Displays the organisation's core identity fields:
- Name — read-only display of the organisation name.
- Description — editable inline. Click the edit (✎) button to open a text area, then save or cancel. Editors and admins can update this field.
- Currency — a dropdown (USD, EUR, GBP, CHF) that controls the currency symbol used throughout cost and savings displays. Visible to admins only.
Domains
Lists the verified email domains associated with the organisation. Domains control which email addresses are eligible to join. Admins can add new domains or remove existing ones.
Roadmap
Displays the organisation's roadmap phases — the milestones used to schedule portfolio items across time. Phases can be created, renamed, reordered, and deleted here. Changes are reflected across all portfolio items that reference those phases.
Users
Requires a Pro or Team subscription. Freemium and Starter accounts see an upgrade prompt.
Lists all users in the organisation. From this tab, admins can:
- Add a user — enter their name and email address to send an invitation.
- Resend invitation — for users who have not yet set a password.
- Edit roles — adjust a user's module access and permission level.
- Remove a user — permanently removes the user from the organisation.
A search field at the top filters the list by name or email.
Security
Controls the organisation's password policy. Admins can configure:
| Setting | Options |
|---|---|
| Minimum length | 1–128 characters (default: 8) |
| Require uppercase letter | On / Off |
| Require lowercase letter | On / Off |
| Require digit | On / Off |
| Require special character | On / Off |
| Allowed special characters | Configurable character set |
Cost Drivers
Lists the organisation's cost driver definitions, grouped by master category. Cost drivers are used when attaching cost estimates to portfolio items.
For each driver, admins can:
- Rename — inline edit of the driver name.
- Set type — toggle between One-time and Recurring.
- Assign a P&L line — map the driver to a profit and loss category.
- Delete — remove the driver from the organisation.
Account Settings
Account Settings is the personal settings window for the currently signed-in user. It contains three tabs (plus an optional fourth for users linked to multiple organisations).
General
Displays the user's personal account information:
- Name — read-only display of the user's full name.
- Email — read-only display of the user's email address.
These fields are managed by your organisation administrator and cannot be edited directly here.
Appearance
Controls the visual theme of the application. A color theme selector lets you choose from the available themes for the platform. The selected theme is saved to your account and applied automatically on next login.
Security
Allows you to change your account password. Click Change Password to open a password change dialog. After a successful change, you will be signed out and redirected to the login page.
The Password Requirements section displays your organisation's active password policy (minimum length, required character types, etc.), loaded automatically when you open this tab.
Tenants (conditional)
This tab only appears if your account is linked to more than one organisation. It lists all organisations your account belongs to, with a Switch button next to each one. Switching reloads the application under the selected organisation's context.
